New Energy Events LLC: Events Terms & Conditions
REFUND POLICY:
All registration cancellations must be submitted in writing to info@newenergyevents.com.
The refund schedule is as follows:
- 30 calendar days or less before conference start: no refund applicable
- 30-60 calendar days before conference start: 50% refund applicable
- 60 calendar days or more before conference start: 75% refund applicable
Substitutions are allowed by individuals within the same company, prior to the event or onsite. Once a substitution has been made, the original registration will no longer be valid. Substitutions after a badge has already been picked up onsite are strictly prohibited. Cancellation of a registration does not cancel an attendee’s hotel reservation. Individuals are responsible for canceling their own hotel reservations. In the event the conference is canceled, New Energy Events LLC’s liability is limited to the refund of the conference registration only. Registration changes can be made online through the “modify registration” button in the confirmation email. For any questions, contact us directly at info@newenergyevents.com.
REGISTERING ON BEHALF OF ANOTHER:
If you are registering on behalf of another person it is your obligation to make sure that the person attending is aware of these Terms and accepts them. By completing and submitting the registration form you are representing and warranting that you have made the person attending aware of these Terms and that they have accepted these Terms.
All terms and conditions as laid out here are applicable to the person who is registered, irrespective who registered them. If you are registered by a third party – including by New Energy Events – that is not you, it is your responsibility to read the terms and conditions linked in your confirmation email and/or hosted on the event website.
HOTEL RESERVATIONS:
Attendees booking hotel reservations within the event-specific room block are subject to the hotel’s terms and conditions. New Energy Events LLC is not responsible for any issues arising from hotel bookings, and attendees are advised to review and comply with the hotel’s policies.
MARKETING MATERIAL:
Display of marketing materials is reserved exclusively for conference exhibitors within the designated exhibit area. Any marketing material displayed outside of the exhibit area, without prior approval from the New Energy Events team, will result in immediate removal. New Energy Events reserves the right to remove, without refund, any individual and company delegation that does not adhere to these rules.
ASSUMPTION OF RISKS:
By attending this event, individuals acknowledge that they assume all risks, hazards, and dangers related to entry into and presence at the venue and event. This includes potential exposure to communicable diseases, viruses, bacteria, or illnesses, and the associated risks of sickness, personal injury, disability, and death. By attending the event, attendees accept personal responsibility for their voluntary attendance at the event.
LIABILITY RELEASE:
New Energy Events LLC shall not be liable for any claims, losses, damages, injuries, communicable diseases, illnesses, or other liability sustained by any person on the premises for the event. This includes agents, employees, representatives, or guests of the registrant. In no event will New Energy Events LLC be liable for an amount exceeding the fees paid by the registrant.
CONTACT INFORMATION AND CONSENT:
By registering for this event, I acknowledge and expressly consent to the processing of my contact information by New Energy Events LLC. I understand and agree that my contact details may be shared exclusively with the title sponsors of the event and, where applicable, sponsors or supporters of any optional registration items chosen during the registration process. Additionally, my contact information may be shared with matchmaking services associated with the event. No other third parties will have access to this information.
I acknowledge that I have the right to withdraw my consent at any time by contacting New Energy Events LLC at info@newenergyevents.com. Withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
However, I understand that if I choose to withdraw my consent, I may miss critical event communications, including updates, logistical information, and any changes related to the event. It is my responsibility to stay informed about the event details.
If you have any queries or concerns related to the sharing of your contact information, or if you wish to exercise your rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, or erase your personal data, please reach out to us directly at the provided email address. We are committed to addressing any inquiries regarding the use of your contact information and ensuring transparency in our practices.
FORCE MAJEURE:
New Energy Events LLC shall not be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including, but not limited to, acts of God, war, terrorism, pandemics, government orders, or other force majeure events. The term “force majeure events” includes, but is not limited to, fires, floods, earthquakes, epidemics, strikes, labor disputes, riots, civil disturbances, shortages of labor or materials, governmental regulations, acts of declared or undeclared war, acts of terrorism, acts of public enemies, or any other unforeseen circumstances.
In the event of a force majeure event, New Energy Events LLC will make reasonable efforts to notify participants promptly and take necessary actions to mitigate the impact of the situation. However, New Energy Events LLC shall not be held responsible for any losses, damages, or liabilities incurred by participants as a result of the force majeure event.
Participants are encouraged to monitor government advisories, follow health and safety guidelines, and take appropriate precautions in the event of a force majeure situation. Any refunds or compensation for cancellations or disruptions due to force majeure events will be at the sole discretion of New Energy Events LLC.
This force majeure clause shall not excuse the obligation of participants to make payments under any agreements or contracts entered into with New Energy Events LLC, including but not limited to event registrations, sponsorships, and exhibitor agreements.
CODE OF CONDUCT:
All event participants, including attendees, speakers, sponsors, and exhibitors, are expected to adhere to a code of conduct promoting respectful and professional behavior. Any individual violating this code may be subject to removal from the event without refund.
INDEMNIFICATION:
By registering for the event, attendees agree to indemnify and hold New Energy Events LLC harmless from any claims, losses, damages, liabilities, costs, and expenses arising out of their participation in the event.
CONTENT RESPONSIBILITY AND DISCLAIMER:
The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of New Energy Events LLC. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or company presentations, marketing collateral, and/or advertising.
PHOTOGRAPHY AND IMAGE USE CONSENT:
By attending a New Energy Events event, attendees acknowledge and agree that they may be photographed or recorded by New Energy Events LLC or its designated representatives. Attendees consent to the use of these photographs and recordings without compensation, for promotional purposes, including but not limited to use in newsletters, websites, social media platforms, and future event marketing materials.
Attendees release New Energy Events LLC, its employees, and its designated representatives from any liability, claims, and demands arising out of or related to the use of said photographs and recordings. This consent includes, but is not limited to, the right to edit, alter, copy, exhibit, publish, or distribute these photos and recordings for any lawful purpose.
Those attendees who do not wish to be photographed or recorded must notify New Energy Events LLC in writing prior to the event, and will be provided with a means to visually indicate their preference during the event, to the extent feasible. However, New Energy Events LLC disclaims any liability for the capture of attendees’ images or sounds by attendees or third parties (e.g., news media) who are not official representatives of New Energy Events LLC.
ACCESSIBILITY AND INCLUSIVITY:
New Energy Events LLC is committed to providing an accessible and inclusive environment for all event participants, including people with disabilities. We strive to ensure that everyone has equal access to the event’s sessions, exhibitions, networking opportunities, and other activities.
- Accessibility Requests: Participants with disabilities or special needs are encouraged to contact our event team at info@newenergyevents.com at least four weeks in advance of the event to discuss any accommodations or assistance they require. We will make every reasonable effort to accommodate these requests in coordination with the venue and our service providers.
- Venue Accessibility: The event will be held in facilities that comply with applicable laws regarding accessibility for individuals with disabilities. Information about venue accessibility, including parking, entrances, restrooms, and seating, will be available on the event website and upon request.
- Auxiliary Aids and Services: We will provide auxiliary aids and services upon request. INTELLECTUAL PROPERTY RIGHTS:
- Ownership and Rights: All intellectual property rights in the content of presentations, materials distributed, and any other information provided during any New Energy Event, including but not limited to speeches, slides, recordings, and promotional materials, belong to New Energy Events LLC, the respective presenters, or their licensors. Unauthorized use, reproduction, distribution, or modification of any content without the express written permission of the copyright holder is strictly prohibited.
- Use of Materials: Participants are authorized to use the materials and content provided during the event for personal and non-commercial purposes only. This includes notes taken during presentations and distributed handouts or digital files intended for attendee use. Any further reproduction, distribution, public display, or creation of derivative works is subject to prior written consent from the rightful copyright owner.
- Contribution License: By submitting any content, including presentations, papers, and other materials, to the event, contributors grant New Energy Events LLC a non-exclusive, royalty-free, perpetual, and worldwide license to use, reproduce, distribute, display, and create derivative works of the submissions, in whole or in part, in any media formats and through any media channels in connection with the event or its promotion.
- Photography and Recording: Attendees are not permitted to record or broadcast audio or video of sessions without prior written permission from New Energy Events LLC. Photography during the event is allowed but may be subject to restrictions as specified by New Energy Events LLC or presenters.
- Notification of Infringement: If you believe that your intellectual property rights have been infringed in connection with the event, please notify New Energy Events LLC immediately at info@newenergyevents.com. Include in your notification a detailed description of the alleged infringement, your contact information, and a statement of ownership of the relevant intellectual property.
By attending or participating in a New Energy Events event, you acknowledge and agree to these terms regarding intellectual property rights.
AMENDMENTS AND DISCLAIMER:
New Energy Events LLC reserves the right to change, amend, add, or remove any of the above terms and conditions in its sole discretion and without prior notice. If one or more conditions become invalid, the remaining conditions will continue to be valid and apply. These terms and conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).
